A clear task allows the contractor to start working without reconstructing the entire discussion history. To achieve this, it needs the expected result, current source files, boundaries, a definition of done, and the next recipient.
Even a short assignment should be checked against these points. Especially if the task is handed over after a call, between departments, or to a specialist who recently joined the project.
Where the gap between assignment and work arises
The title "prepare a presentation" seems sufficient to the author: he remembers the client, the meeting, and the verbal clarifications. The contractor sees only the general topic and is forced to independently reconstruct the missing conditions.
Such uncertainty manifests itself in additional questions or in a result that formally matches the title but is not suitable for the next step. It is easy to mistake a task-setting error for the contractor's inattention.
Therefore, the description is not checked by length. What matters more is that another person understands the result in the same way and can find the necessary materials. For a simple assignment, a few sentences are enough.
Start with what needs to be delivered
Describe the result so that it can be shown or handed over. For example: a PDF presentation for discussing three concept options at a meeting with the client. Name the recipient and the purpose of use.
Next, outline the composition of the result: what sections, materials, or actions are needed. If the task is large and contains independent deliveries to different people, discuss splitting it into several units of work.
Avoid evaluations like "high quality" without explanation. Participants may put different meanings into them. It is better to name verifiable characteristics that are important specifically to the recipient of this result.
Specify the source data and boundaries
Attach current materials or provide clear links. If there are several options, indicate which one should be used. A link to a folder with dozens of files often leaves the contractor with the same uncertainty.
Indicate what is not included in the work. For example, the presentation explains the concept but does not include a commercial estimate. Such clarification helps to recognize new scope when discussing revisions.
If data is missing, write down the open question and the person who should answer. Do not pass off an assumption as an agreed requirement: it is precisely from such subtle substitutions that rework often arises.
Agree on the definition of done and the reviewer
The definition of done explains under what conditions the work can be handed over. For a presentation, this could be the presence of agreed sections, current figures, and a PDF that opens without draft comments.
Separately name the reviewer. The contractor's completion of the work and the recipient's confirmation of the result may occur at different times. The plan should account for both events if the next stage depends on them.
Criteria should match the scale of the task. A long formal list for a small edit hinders work. Keep only the conditions that actually affect the decision to accept the result.
An example description that can be used as a basis
Training situation: a manager needs material for a meeting with a client. The result is a PDF with the problem, three solution options, and a recommendation. The source is the agreed research attached to the task.
Boundary: cost calculation is not included in this step. Handover: the designer sends a draft to the manager by Wednesday, and the manager checks completeness before the meeting. Criterion: all three options are compared under the same conditions.
From this record, it is clear what to do, what data to take, and who acts next. If the client asks to add an estimate, the team can separately discuss the change in scope and deadline.
How to keep the agreement in PRO-dela
Create a task in the appropriate project. In the title, indicate the action and result; in the description, the working conditions. Add materials, assign the contractor, and set an agreed deadline.
Discuss clarifications about the result next to the task. If a decision changes the original assignment, update the description and inform participants of what has changed. Otherwise, the current conditions will remain only in a long correspondence.

Check the assignment before starting
Ask the contractor to briefly restate what they will deliver and on what basis. This helps to detect discrepancies before work begins. If the restatement differs from expectations, clarify the wording together.
Also check access to files and the ability to contact the reviewer. A good description will not help if the source files are unavailable or the person accepting the result is absent until the end of the week.
After completion, it is useful to note what information was missing. Use this insight in similar tasks, but do not turn every one-off case into a mandatory field for the entire team.
