How to link the result, acceptance, and invoice for a project

Linking completed work to an invoice is easier when the team explicitly records the handover of the result and the recipient's response. You need to understand what was sent, who is reviewing it, what comments remain, and what documentation is required under the agreements.

This procedure is useful for an agency or service team where production, client communication, and document preparation are distributed among different people.

Separate completion, handover, and confirmation

A contractor may finish their part, but the result has not yet been sent to the recipient. After sending, a review may be required. If all these events are labeled with a single word "done," the next responsible person becomes unclear.

Name them separately: the work is completed within the team, the result has been handed over, a response has been received. This is a description of the process, not a requirement to use exactly these status names in the system.

For each transition, define who acts next. The contractor prepares the result, the manager checks completeness or organizes the handover, and the authorized recipient communicates the decision.

Prepare the result for handover

Specify which files, links, or materials constitute the result. Check that versions are current and that the recipient has access. A readiness message without the result itself creates an extra round of clarifications.

Compare what is being handed over with the agreed scope. If part of the work is not yet complete, state this explicitly and agree on whether partial handover is acceptable.

Record what response you expect and by when you expect to receive it. An external participant is not obliged to follow the team's internal schedule unless the parties have agreed on this.

Save the response and review the comments

The response may confirm the entire result, relate to part of the scope, or contain questions. Record its subject: which file or part of the work is accepted, what needs clarification, and who is preparing the correction.

Do not mix comments on the agreed terms with new requests. First establish whether they change the scope. If necessary, discuss further deadlines and commercial terms separately.

If the response was received on a call, save the working summary next to the task or project. Such a record helps the team act consistently, but by itself it does not give the correspondence any special legal status.

Example: the client reviews a set of mockups

A training situation: the team hands over three screens for a stage. The client accepts two and asks for the third to be corrected. The manager links the response to specific versions and creates a clear next step for the remaining comment.

The team no longer discusses the entire stage as equally complete or incomplete. It is clear which part requires work and which material can already be used further within the agreements.

The manager checks the preparation of documents and the invoice against the project terms. Partial acceptance does not automatically mean that any part of the amount can be invoiced: the basis is determined by the agreed procedure.

Check the documents and the basis for the invoice

Before preparing it, clarify which event is provided for by the agreements: an advance payment, completion of a stage, confirmation of the result, or another agreed moment. There is no universal rule that an invoice is issued only after acceptance.

Check that the invoice items correspond to the agreed scope and the project data. The document or report should help clarify which result is being documented, not replace the recipient's missing decision.

Assign someone responsible for preparation and further monitoring. If production and documents are handled by different people, pass on not only the "go-ahead" signal but also the materials on which the decision is based.

What to check before closing a work stage

Find the current result, the recipient's response, and the remaining comments. Make sure that every open question has a next responsible person. Then check whether the required documentation has been completed.

If the recipient does not respond, keep the handover date and the next communication step. Silence should not automatically be interpreted as acceptance without grounds in the agreements.

Closing a stage should be based on a clear state of the work. This reduces dependence on the manager's memory and helps hand the project over to another participant without reconstructing the entire history again.
